Terms & Conditions for Bookings At The Renard

Thank you for choosing to book The Renard for your celebration. By making this booking, you are entering into an agreement with GFB Ltd T/A The Renard and will be bound by the following Terms & Conditions.

 

Booking Confirmation

GFB Ltd only accepts bookings from persons over 18 years of age. A 25% deposit payment is required at time of booking and final payment is due 14 days prior to arrival. If the booking is made within 14 days of arrival, full payment will be required at the time of booking. Bookings made through our online booking system are provisional until confirmed in writing.

Deposits must be paid by either credit/debit card via our website.

If payment is not received by the due date for either a deposit payment plan or the final balance, GFB Ltd will consider the booking cancelled and reserves the right to relist the dates for sale. The guest will be notified, and the booking will fall under the cancellation policy where the booking may result in a partial or total loss of the value booked.

 

Cancellation Policy

To receive a full refund, guests must cancel in writing by email within 48 hours of booking, and the cancellation must occur at least 30 days prior to check-in. If the booking is cancelled 30 or more days before check-in but not within 48 hours of booking, 50% of the total payment will be refunded. If cancellations occur after 30 days prior to check-in, no refund will be granted.

If guests wish to change their stay dates, GFB Ltd will make reasonable efforts to accommodate the request, provided that appropriate notice is given. A date change fee of £400 applies to any changes requested within 90 days of check-in. Date changes are not permitted within 30 days of check-in, except in exceptional circumstances. Any approved changes may incur additional charges due to seasonal price fluctuations, as the original booking cost cannot be guaranteed. All requests are subject to management’s sole discretion and will be assessed on a case-by-case basis.

We strongly recommend that guests take out travel insurance to cover in the event of an unforeseeable cancellation. In the unlikely event that GFB Ltd has to cancel an existing booking due to extenuating circumstances, guests will be refunded in full.

 

Cautionary Deposit

There is a security deposit of upto £1,850 which will be charged in the event of any damage being caused to the property by any members of your party. Your card details will be securely held by our website booking platform and the booking will not go ahead without this as it will be considered a breach of contract. If linens and towels are found to be overly stained, items may need to be replaced for future guests. Please allow up to 7-10 days for professional laundering of these items before being notified if the security deposit will be charged.

Should any damages occur, you will be notified in writing and these will be deducted from the card that was made to confirm the booking.

Arrival and Departure

Check-in is from 4pm on the day of arrival. Check-out is 10am on the day of departure. Guests are required to close and lock all doors (including patio doors) and put keys back in the lockboxes.

GFB Ltd will try to accommodate requests for early check-in/late check-out; however, they are subject to availability (i.e. other bookings in place, availability of cleaning team, maintenance schedule) and fees may apply. Despite any early applications, approval will only be granted 1-2 days prior to entry/departure if available. Early requests do not guarantee early access/late checkout unless a full day’s rate is paid. If guests are late to depart without prior approval in writing, and/or if cleaning teams are unable to access all or part of the property, any charges from cleaning teams for wait times will be passed onto the guests.

 

Breakages and Damage

A degree of normal wear and tear is expected but should any significant damage or breakage happen during your stay you will be held responsible and liable to a charge equal to replacing the item(s). We reserve the right to charge for excessive cleaning where the Barns have been left in an unacceptable condition.

Guests are politely asked to leave the property as it was found upon checkout. This includes the following:

  • Washing of all dishes and kitchenware and putting them away in cupboards and shelves.

  • Dishwashers must be loaded and wash cycle turned on.

  • Clearing fridges and freezers of food.

  • Rubbish and recycling emptied into appropriate bins in rubbish store.

  • Stripping beds of linen.

  • If furniture has been moved around, please return this back to its original position.

  • Ensuring BBQ has been cleaned if it has been used by your party.

Failure to do so may result in additional cleaning charges.

 

Liability

GFB Ltd accept no responsibility for injury incurred anywhere on the site or in The Barns. The use of the outdoor baths are permitted, but this is at your own risk and GFB Ltd hold no responsibility for drowning, injury or illness. There is a large duck pond next to the boundary of Glebe Farm which is out of bounds and strictly prohibited.

 

Negligence

Guests will be held responsible for any fire, damage or alteration to the Barns or other parts of the site caused by negligence. Please take care when using candles, wood burners and fire pits. Please do not leave anything on or rested against the wood burners. There is an axe and other tools in the open barns for chopping wood. We cannot accept any liability for guest use of these tools and we ask that adults supervise their children as children are strictly forbidden from playing with any of the tools.

Pets

Dog are permitted at Glebe Farm as long as the agreed pet fee of £40 per dog has been paid. When a booking is confirmed, all terms and conditions are considered agreed to by all parties staying at the property on the booking confirmation, including pet-friendly terms and conditions. This includes excess cleaning charges or necessary deductions from your security deposit for damages caused due to any pet(s) agreed to on the booking. Dog owners are requested to bring their own dog beds are pets are not permitted on any of the sofas/upholstery or bedding and additional cleaning charges may apply should any excessive pet hair, urine/faeces, fleas, or any evidence (including smell) of the pet be evident on these items following check-out.

GFB Ltd accepts no responsibility for the death of, loss of, injury, or sickness to pets during the accommodation period - full and sole responsibility for the pet and its actions lie with the pet owner, and upon acceptance of terms and conditions, the guest agrees that no legal action (including payment of veterinary accounts) will be taken against GFB Ltd.

Stolen Property

You are responsible for your property including your car whilst staying at The Renard and we do not accept any responsibility for your personal effects.

Code of Conduct

Guests agree to not act in any way which would cause disturbance to other guests or nearby residents on site, or in the local village. Noise is to be kept to a minimum outside after 10pm. Our Barns are well insulated so guests can enjoy themselves inside but in the courtyard and surrounding areas, noise travels.

In exceptional circumstances where an incident of anti-social behaviour occurs, GFB Ltd will determine the severity of the incident and the impact on the property, the community, and the surrounding guests and residents. If the incident and impact are deemed to be severe, all guests at the premises may be evicted from the premises by security without a refund of rent or security deposit. This determination is at the sole discretion of management and is non-negotiable.
